Unleash the Power of Effective Communication in Analysis Teams
Have you thought about how your communication is sabotaging your analysis work? It is for this reason that we delve into the art of effective communication, an indispensable skill for all of us analysts aiming to inspire and share insights. Effective communication is not our ability to write or talk but rather the ability to answer the burning question. We draw inspiration from Carmine Gallo's "Talk Like TED," a guide that has transformed countless speakers into captivating communicators.
The Power of Communication in Analysis
We are often immersed in complex data and intricate details, but the ability to convey our findings with clarity is equally crucial. I would not want to downplay what we go through to covey our findings but rather highlight that clarity in communication could make it all worth it. Effective communication is not just about delivering information; crafting a narrative that captivates and resonates with the audience. We know when we have done a great job in delivering great insights well, the boardroom buzzes with energy and we get more work from our insights. Conversely, Exco is quick to send us away with our imaginary tail between our legs when we miss the mark. Although I have experienced more tail-between-my-leg moments than buzzing sessions, it is recently that I learned the power of system thinking.
Embracing System Thinking
To elevate your communication skills, consider adopting the principles of system thinking. This approach encourages analysts to view their insights holistically, understanding the interconnectedness of various elements. As you communicate your findings, remember the UBER model: Understanding, Behaviour, Enquiry, and Relationships. UBER model is the tool among tools to use in system thinking. What I love is that it is easy to remember, thanks to the app. Here is what you must do in each step to ensure effective communication:
Understanding: Know Your Audience
Before you embark on delivering your insights, understand your audience. Your audience is all the stakeholders that are impacted by your research question or area of inquiry. Tailor your message to resonate with their knowledge level and interests. Why? Because each stakeholder has a different perspective on the problem it would be better if all analysts could understand their perspective before delving into the data. Doing this ensures that our communication is not just informative but also relatable.
Behaviour: Influence Through Insights
An effective analyst not only provides data but also influences behaviour through insights. Some insights stem from what we have observed from the data. Data that shows a trend is great at showing us the behaviour over time. Explain not just the 'what' but also the 'why' behind your data. Doing so will help our audience visualise the impact and make your insights actionable. Many of us leave it at this point but I would encourage you to follow through to the following step – presenting at this point might create confusion and analysis paralysis.
Enquiry: Foster Curiosity
To curb analysis paralysis, ask the team what have we derived from seeing the behaviour presented by data. Encourage a spirit of inquiry. This will then allow us to ask a single powerful question that will refocus the initial ask (inquiry) with the help of data. A curious mind is more likely to retain information and actively participate in the analytical Pose a question that stimulates curiosity and engages your audience in critical thinking. If we see Apple Watch data about how our weight has been fluctuating over time, the powerful question could be “What actions should be taken today to reach a healthy weight?” This is a powerful question that might have provided clarity to our initial inquiry into weight data. process.
Relationships: Connect on a Human Level
While numbers and graphs are essential, don't forget the human element. This starts will asking every stakeholder what they assume will be the answer to our powerful question. Once we have collated these answers, we will need to categorise them to find a common theme. Once we have a theme, we then see how each theme relates to each other. This exercise lets us know which theme is a drive which is a link and which is an outcome. Our answer to the powerful question will be based only on drivers and not outcomes. Remember to connect with your audience emotionally while presenting why a theme is a drive and should be considered and not the others. Share stories, anecdotes, or real-world examples that make your analysis relatable. Building a connection fosters trust and makes our insights more memorable – get buy-in. But you will have to present this like you are standing on the red dot.

To limit the danger of using conflicting data, I have identified a few helpful tools. These tools include creating manual adjustments to limit variance between applications when necessary, keeping separate reports for each application, declaring the data source to the audience before meetings, and planning for data recovery using other applications.
